Meta setup & Guestway integration

Guestway uses the official WhatsApp Business Platform.

Because of this, Meta requires every company to create and verify a business environment before messaging guests.

You will need to:

  • Create a Meta Business Portfolio

  • Create a WhatsApp Business Account

  • Register a phone number

  • Configure billing

  • Connect the number inside Guestway

Once completed, Guestway will be able to send and receive WhatsApp messages with guests.

Before you start

Prepare the following:

  • A business phone number (not used in WhatsApp app OR ready to migrate)

  • Legal company details

  • Access to SMS or voice verification for the number

  • Credit card for WhatsApp usage billing

Part 1. Meta setup

All steps below happen inside Meta Business Manager.

1. Create a Meta Business Portfolio

Create your business environment in Meta Business Suite.

This acts as the owner of your WhatsApp account and phone numbers.

You will add:

  • Company information

  • Business email

  • Business address

After creation, Meta may ask you to verify the company later.

2. Create a WhatsApp Business Account

You will create the WhatsApp Business Account using Meta’s embedded signup flow.

During this process you will:

  • Select your business portfolio

  • Enter display name shown to guests

  • Choose category

  • Confirm company details

This account represents your brand in WhatsApp conversations.

3. Add a phone number

You now need to register a phone number for messaging.

Important rules:

  • The number cannot already be actively used in WhatsApp unless you migrate it

  • Landline numbers are allowed

  • You must receive a verification code via SMS or voice

You have two options:

Option A: Migrate existing WhatsApp number

You will stop using the WhatsApp mobile app

Chat history will be lost

The number becomes API only and managed through Guestway

Option B: Use a new number

Recommended for most customers

Keeps personal WhatsApp usage separate

4. Configure WhatsApp billing

WhatsApp messaging is charged by Meta.

If billing is not configured, messages cannot be delivered.

Add a payment method to your WhatsApp Business Account and set it as the default payment method.

If billing is missing or incorrect, message sending will fail and an error will appear:

Part 2. Connect WhatsApp to Guestway

After completing the Meta setup, you can now connect the number inside Guestway.

You must have Admin permissions inside the Guestway organization to perform this step

Step 1. Open the WhatsApp integration

Go to:

Settings → Integrations → Create → WhatsApp

Step 2. Start the Meta connection flow

Guestway will open the official Meta embedded signup window.

Log in using the Facebook account that manages your Meta Business Portfolio.

During the flow you will:

  • Select your Business Portfolio

  • Select your WhatsApp Business Account

  • Select the phone number you created

  • Grant Guestway the required permissions

Confirm all steps until Meta shows the connection is complete.

Step 3. Finalize the connection

After the popup closes, the WhatsApp number will appear as connected inside Guestway.

The channel is now active and conversations will start appearing in your inbox.
